Our client is looking for an exceptional Office Manager who can keep their busy business organised, efficient, and moving forward. This is a diverse role where you'll be at the heart of operations, supporting everything from accounts and payroll to HR, health & safety, and office management.

About the Role

Reporting directly to the Director and the General Manager, you'll be the central point of coordination and support for the business.

This full-time*, office-based position offers flexibility around working hours, provided key responsibilities are met. We're looking for someone who naturally takes ownership, anticipates what needs doing, and enjoys finding solutions before problems arise.

What You'll Be Doing

This diverse role includes:
Office Management & Administration 
  • Managing day-to-day office operations, coordinating meetings, appointments, and correspondence
  • Preparing reports, taking meeting minutes and distributing action points
  • Managing office supplies, facilities, phones, equipment and company events
Accounts & Finance 
  • Processing accounts payable and receivable in Xero
  • Reconciling payments, expenses, and supplier accounts and raising client invoices and managing job setup
  • Preparing monthly financial reports and supporting month-end processes and reporting deadlines
Payroll 
  • Processing weekly payroll accurately and on time
  • Managing leave requests and payroll records
  • Maintaining PAYE, KiwiSaver, and holiday entitlement records   
Human Resources 
  • Assisting with employment agreements and onboarding
  • Maintaining personnel records and staff registers
  • Tracking training, licences, and certification renewals
Health & Safety  
  • Managing health and safety systems through SiteApp Pro
  • Preparing Site Specific Safety Plans (SSSPs)
  • Monitoring toolbox meetings and site documentation while managing PPE allocation and records and maintaining health and safety registers and compliance documentation
Marketing & Business Support  
  • Creating forms, templates, and branded documents and assisting with social media content and marketing materials
Who We're Looking For
 
We are looking for a highly organised and proactive Office Manager who loves variety and thrives on responsibility.  If you're someone who takes initiative, spots what needs doing before being asked, and takes pride in doing things right, we'd love to hear from you.

Essential Experience 
  • Strong administration and accounts experience with high attention to detail and accuracy with the ability to manage multiple priorities and deadlines
  • Intermediate Xero Accounting and Xero Payroll experience
  • Microsoft Word, Excel, Outlook, and PowerPoint
Experience with construction, trades, ERP systems, HR administration, or health and safety processes will be advantageous, but training will be provided for the right person.
